A clearer structure for how KAI Farm communicates
We believe that better information produces better decisions, and better decisions produce better outcomes — for KAI Farm, for our partners, and for the farming communities at the base of the supply chains we operate within. As our work grows, so does the need for communications that are structured, purposeful, and easy to navigate. Effective immediately, we are reorganising our channels so that each one serves a distinct and clearly defined purpose.
This is not a cosmetic change. Each channel now has a defined scope, a defined audience, and a defined standard of response. The goal is simple: when you need something from KAI Farm, you should know exactly where to go — and what to expect when you get there.
KAI Farm website — kaifarm.uk
The KAI Farm website is our public record and our primary channel for knowledge-sharing. It is where we document our thinking, publish our findings, and communicate developments that are relevant to the wider industry — not just to active partners, but to growers, buyers, researchers, and anyone with an interest in how agricultural supply chains operate.
We publish on this channel because we believe that transparency at the industry level creates better conditions for everyone operating within it. When we share what we are learning — about market dynamics, about quality standards, about the realities facing farming communities — we contribute to a more informed ecosystem. That benefits our partners directly, and the broader supply chain over time.
What you will find here
- Market reports and price analysis — periodic assessments of commodity pricing, seasonal supply patterns, and demand trends relevant to the products we source and distribute.
- Quality and certification updates — changes to standards, new certification frameworks, and guidance on compliance that affects the supply chains we operate within.
- Company announcements — structural changes, new partnerships, operational milestones, and any developments that affect how KAI Farm operates at a general level.
- Research and insight — longer-form analysis on topics including sustainability, traceability, smallholder economics, and supply chain resilience.
- Policy and regulatory updates — summaries of relevant legislative or regulatory changes in the markets we serve, particularly where these affect import/export, food safety, or environmental compliance.
What this channel is not for
- Operational queries about specific orders, deliveries, or invoices — these belong in the Partner app.
- Urgent or time-sensitive issues — these belong in the Priority Partner Support channel.
- Private or commercially sensitive information about individual partner arrangements.
KAI Farm Intelligence
KAI Farm Intelligence is our monthly publication of in-depth analysis and proprietary data covering the supply chains, markets, and agricultural systems we operate within. It is distinct from the general content published on our website — the Intelligence series is research-grade, data-driven, and written for decision-makers who need more than a market summary.
The underlying premise is the same one that drives everything we do: the quality of a decision is bounded by the quality of the information behind it. General market news is widely available. What is not widely available is analysis that draws on direct sourcing relationships, field-level quality data, and years of accumulated supply chain experience. That is what KAI Farm Intelligence is built to deliver.
What we publish
- Monthly market and pricing reports — structured analysis of commodity price movements, demand signals, and trading conditions across the product categories KAI Farm operates in. Each report includes a forward-looking section covering the conditions most likely to influence pricing in the period ahead.
- Supply chain analysis — examination of structural dynamics within specific supply chains: origin concentration, logistics constraints, intermediary layers, and the factors that create or erode reliability at scale.
- Seasonal forecasts and supply outlook — advance assessments of crop performance, harvest timing, and anticipated supply volumes, drawn from direct relationships with producers and from on-the-ground monitoring across our sourcing regions.
- Quality and certification data — aggregated analysis of quality outcomes across batches, evolving certification standards, and emerging compliance requirements in key destination markets.
Access tiers
KAI Farm Intelligence operates on two access tiers, reflecting the different relationships we have with our readership.
Partner access — included with active supply agreements. All partners holding an active supply agreement with KAI Farm receive full access to the Intelligence publication at no additional cost. This is a deliberate choice: we believe that partners who are better informed about the conditions affecting our shared supply chains make better decisions — and that benefits both sides. Partner access is provisioned automatically and delivered monthly to the contact address held on your account.
Paid subscription — open to external organisations. Organisations without a KAI Farm supply agreement can access the Intelligence series through a paid subscription. This includes buyers, traders, research institutions, and industry bodies who require reliable, structured intelligence on the agricultural supply chains we cover. Subscription enquiries can be directed to our team via the contact form on kaifarm.uk.
What KAI Farm Intelligence is not
- It is not a news feed or a real-time data service — it is a monthly analytical publication. For time-sensitive operational data, use the Partner app.
- It is not a substitute for advice specific to your situation — the analysis covers market and supply chain conditions generally. Commercial decisions about your own arrangements should draw on your account manager’s guidance as well.
- It is not publicly available — access requires either an active partner relationship or a paid subscription. Summaries and excerpts may occasionally appear on kaifarm.uk, but the full publication is gated.
For existing partners
If you hold an active supply agreement and are not currently receiving the Intelligence publication, please check your registered contact details in the Partner app or raise a request through the app and our team will resolve the gap within one business day.
KAI Farm Partner app
The Partner app is the operational core of your relationship with KAI Farm. It is where the work happens — where orders are placed, tracked, and closed; where documentation is issued and stored; and where the day-to-day flow of goods and information between KAI Farm and its partners is managed.
The app exists because operational clarity matters as much as strategic clarity. A partner who cannot quickly confirm the status of a delivery, retrieve a quality certificate, or check a payment record is a partner whose time is being wasted — and whose trust is being tested. The Partner app is designed to eliminate that friction by making the right information available at the right moment, without requiring a phone call or an email chain to retrieve it.
What you can do in the app
- Place and manage orders — submit purchase orders, specify delivery requirements, and track each order from confirmation through to fulfilment. Order history is retained and searchable.
- Track deliveries — monitor scheduled delivery dates, receive status updates at key logistics milestones, and flag exceptions or delivery issues directly within the app.
- Access invoices and payment records — view issued invoices, confirm payment status, and download documentation for your own records. All financial correspondence tied to a transaction is stored against that transaction.
- Download quality reports and certifications — access batch-level quality documentation, third-party inspection reports, and relevant certifications at the point of receipt or on demand. These are linked directly to the relevant order.
- Check product availability and current pricing — view live availability across KAI Farm’s product range, along with current pricing and any upcoming changes to terms or availability windows.
Example situations where the app is the right channel
- You need to place an order for next week’s scheduled delivery window.
- You want to confirm that an invoice has been received and is being processed.
- You need the quality certificate for a specific batch to satisfy a buyer’s compliance requirement.
- You want to check whether a product you regularly order is available in the volume you need for the coming month.
- You need a record of all deliveries made in the previous quarter for an internal audit.
What the app is not for
- Urgent issues requiring immediate human escalation — use the Priority Partner Support channel for these.
- Strategic or commercial discussions about pricing negotiations, contract terms, or new supply agreements — contact your account manager directly.
- General industry news or market intelligence — visit kaifarm.uk.
Priority partner support
For partners with an active supply agreement, KAI Farm operates a dedicated support structure that goes beyond standard operational channels. This is not a general helpdesk — it is a set of direct, staffed touchpoints designed for situations where speed, accountability, and human judgement matter.
Access to Priority Partner Support is by invitation and is available exclusively to partners with an active supply agreement with KAI Farm. If you are an active partner and have not yet received access details, please submit a request through the Partner app.
1:1 dedicated account support — WhatsApp
Every active partner is assigned a named account manager at KAI Farm. That account manager is your single point of contact for anything that requires a direct, informed human response. Contact is maintained through a dedicated WhatsApp conversation — not a group, not a shared inbox, but a one-to-one channel between you and the person responsible for your account.
This matters because accountability requires a name. When an issue arises, you are not describing your situation to a queue — you are speaking to someone who knows your supply arrangement, your order history, and the context behind your request. That knowledge makes responses faster and more useful.
When to use your 1:1 account support
- You need guidance on a decision that touches your supply agreement — volume changes, scheduling adjustments, or product substitutions.
- You have raised an issue through the Partner app and want to discuss the resolution directly.
- You are anticipating a change in your requirements and want to plan ahead with someone who understands your account.
- You need a quick, informed answer that requires context your account manager already holds.
Internal hotline — 24/7 live support
KAI Farm maintains a staffed internal hotline available around the clock, every day of the year. This line is reserved for active partners and exists for one purpose: ensuring that genuine operational emergencies can reach a live person at any hour, without exception.
The hotline is not a convenience channel. It is a commitment — one that requires discipline on both sides to remain useful. We ask partners to reserve it for situations that genuinely cannot wait until standard hours, so that the team staffing it can respond with the full attention those situations deserve.
When to use the hotline
- A delivery has failed, arrived damaged, or arrived with a critical documentation mismatch and resolution is required immediately.
- A supply disruption has occurred that will materially affect your operations within hours.
- You are in an active transaction or at a compliance checkpoint and require urgent confirmation from KAI Farm to proceed.
- An issue has escalated beyond what the Partner app or your account manager can resolve in real time.
Internal email — 24/7 response commitment
For issues that require a written record but cannot wait for standard business hours, KAI Farm’s internal support email operates with a 24/7 response commitment. Messages sent to this address are monitored continuously and routed directly to the team member best placed to respond — not held in a queue until the next working day.
Email is the appropriate channel when the matter is urgent but not time-critical to the minute — when you need a documented response, a formal confirmation, or a resolution that requires review before it can be issued.
When to use the support email
- You need written confirmation of a delivery arrangement, pricing agreement, or operational decision.
- You are raising a formal concern or dispute that requires a documented response trail.
- You need supporting documentation or records that are not available through the Partner app.
- You have a time-sensitive query outside business hours that does not require an immediate phone or live response.
What Priority Partner Support is not for
- Routine order placement, tracking, or invoice queries — these belong in the Partner app.
- General product or pricing enquiries — check current availability in the Partner app.
- Market updates or company announcements — visit kaifarm.uk.
- Non-urgent matters that can be handled during standard operating hours through normal channels.
Access and setup
Upon confirmation of an active supply agreement, partners receive a welcome communication containing their assigned account manager’s contact details, the internal hotline number, and the dedicated support email address. These details are specific to your account and should not be shared outside your organisation.
If you have not received your access details, or if your contact information needs to be updated, please raise a request through the Partner app and our team will respond within one business day.
A note on why this matters
These changes take effect immediately. They are not administrative housekeeping — they reflect a deliberate commitment to making every interaction with KAI Farm more useful than the last. When our communications are structured, your time is respected. When information reaches the right channel, it reaches the right person. And when the right person has the right information at the right moment, better decisions follow.
If you have questions about where to direct a specific type of communication, the channel guide above is the reference point. For anything not covered, please reach out via the Partner app and we will respond accordingly.
